Winter Break/Green Days Information
In continuation of Syracuse University’s Flexible Work and Sustainability Initiative, the University will be operating under its Green Days format for the Winter Break period from 5 p.m. Thursday, Dec. 22, 2016, through Monday, Jan. 2, 2017.
Normal business hours will resume on Tuesday, Jan. 3, 2017. In addition to the regular University holidays of Dec. 23-27, 2016, and Jan. 2, 2017, the following days have been designated as paid Green Days: Dec. 28-30, 2016.
Units providing essential services that will remain operational during the Winter Break include Public Safety and Physical Plant and Maintenance. Some facilities, such as Bird Library, will be operational at reduced hours. Beginning at 5 p.m. on Thursday, Dec. 22, 2016, all buildings will be on a reduced occupancy schedule, and temperatures in most areas will be set at 60 degrees.

ADMISSIONS and ADMISSIONS PROCESSING top
In continuation of Syracuse University’s flexible work and sustainability initiative, Enrollment Management will be closed from December 23, 2016 through January 2, 2017 and will reopen on January 3, 2017 at 8:30 a.m.
In observation of the holidays and University’s Sustainability initiative, the Bookstore will be closed Dec. 23, 2016 through Jan. 2, 2017. During this time the Bookstore online store will be available for customer orders at http://bookweb.syr.edu. Orders received after Dec. 21, 2016 will be processed beginning Jan. 3, 2017.
The Bookstore will reopen on Tuesday, Jan. 3, 2017 at 8:30 a.m.
BUILDING OCCUPANCY top
The University will be operating under its “Green Days” format for the Winter Break period from 5 p.m. on Thursday, Dec. 22, 2016 through Monday, Jan. 2, 2017. Beginning at 5 p.m. Thursday, Dec. 22, all University buildings will operate on a reduced occupancy schedule; the buildings will return to the normal occupancy schedule on Tuesday, Jan. 3, 2017.
During the Winter Break period:
- All academic and administrative buildings will be locked or closed.
- Building temperatures will be lowered to 60 degrees, unless prior arrangements have been made.
Request for Building Access:
If you require your building to be open over the Winter Break/Green Days period, please submit a request to your building coordinator, noting the specific dates and times. Requests should be made by 5 p.m. Friday, Dec. 16, 2016. (Note that faculty and staff will be able to access all buildings as usual by swiping their SU I.D. cards, even when the buildings are locked.)
Request for Adjustments to Temperature and Lighting:
Deans, directors and department heads may submit a detailed request for adjustments to temperature and lighting during the Winter Break/Green Days period. Please review the University’s temperature guidelines, which can be found at http://essm.syr.edu/html/temp_access.html. Requests should be made using the online form at http://essm.syr.edu/scheduling/ by 5 p.m. Friday, Dec. 16, 2016. Requests will be reviewed and approved by either the Vice President and Chief Facilities Officer or the Provost.

BURSAR’S OFFICE top

COUNSELING CENTER top
The Counseling Center will be closed from Dec. 23, 2016, through Jan. 2, 2017. However, in the event of a mental health emergency or if there is a need to contact a member of the Sexual and Relationship Response Team, 24-hour services remain available. CUSTODIAL SERVICES top
Custodial Services will be provided, on a reduced basis, in academic and administrative buildings. If assistance is needed, call 315.443.1234.

DELIVERIES (UPS and FedEx) top
The Purchasing Department, based on department-submitted instructions, will make arrangements for UPS and FedEx deliveries to those departments. Departments for which staff will be working in locked buildings will need to contact the Purchasing Department to coordinate delivery instructions. If your department has a specific request pertaining to UPS or FedEx deliveries, contact Sarah Michaels in Purchasing at 315.443.2281 or email@example.com to make delivery arrangements. Please provide the days that the office will be staffed, the normal delivery location and the temporary delivery location.
DISABILITY BENEFITS AND WORKERS’ COMPENSATION BENEFIT PAYMENTS top
Disability benefits checks will be processed in advance. All Disability benefits checks will be processed through the payroll system, for those that don’t use the direct deposit option checks will be mailed to the employee’s home address by the Payroll Department during the week of Dec. 26, 2016. In anticipation of Green Days, Disbursements will not be processing payments after Wednesday, Dec. 21, 2016. The last payment run will be the night of Dec. 21, 2016 for distribution and handling on Dec. 22, 2016. After Dec. 22, 2016, normal processing will not resume until Tuesday, Jan. 3, 2017.
To ensure timeliness of various payments your department may have, please make appropriate arrangements to have requests in the Disbursements Department on or before 2 p.m. on Wednesday, Dec. 14, 2016.

If an employee works on a Green Day (435), the hours worked should be coded as Regular (010) time. If the employee works less than their normally scheduled hours, the hours not worked should remain coded as Green Day (435). For any time worked on a Green Day (435), an employee will be given an equal amount of paid time off to be used prior to July 1, 2017. This time, when used, should be coded as Green Day (435). Temps are not eligible for Green Day.
PAYROLL FREQUENTLY ASKED QUESTIONS top
If I do not have direct deposit, how will I get my paycheck on Dec. 28, 2016?
Paychecks will be mailed to your permanent address. You can verify your permanent address is accurate by going to MySlice under Personal Services, View/Update Addresses. Any changes must be made by Dec. 20, 2016.
Where can I sign up for direct deposit?
Log onto https://myslice.syr.edu and select “View/Update My Direct Deposit” to enter your information.
Why might I not receive a paycheck at my home by Dec. 28, 2016?
Several reasons could result in you not receiving your paper paycheck on or before Dec. 28, 2016. Your permanent address in MySlice has to be correct as of Dec. 20, 2016. For example, if you have moved and did not change your address, the paper paycheck will be delivered to the address per MySlice and either forwarded to your new address (if you have filed a change of address form with the U.S. Postal Service) or it will be returned to Payroll. Either case will result in potentially significant delays in your receipt of your paper paycheck.
What happens if my permanent address is incorrect in MySlice?
Since paper paychecks will be delivered by the U.S. Postal Service, Syracuse University cannot control, track or locate your paycheck once mailed. If you have filed a change of address form with the U.S. Postal Service to forward your mail, delivery of your paycheck will be delayed. If no such form has been filed, the paper paycheck will be returned to Payroll. Either case will result in potentially significant delays in your receipt of your paper paycheck.
How do I change my permanent address?
Log onto https://myslice.syr.edu and select “View/Update Addresses” under Personal Services.
If I receive my weekly paper paycheck before Dec. 28, 2016 or my semi paper paycheck before Dec. 20, 2016, can I cash/deposit it?
No. Paychecks dated Dec. 28, 2016 or Dec. 30, 2016, are not valid prior to that date.
What happens if I don’t receive my paper paycheck?
If you have not received your paycheck by Dec. 30, 2016, you can call Payroll at 315.443.4042, option 2, and leave a message with the following information:
- Indicate that you did not receive your paycheck.
- Give your name and SU I.D. number.
- Give the name of the University department that you were expecting pay from.
- Furnish a telephone number where you can be reached.
Messages will be reviewed at various times during the day and calls will be returned as soon as possible.
If my departmental administrator didn’t input and approve the payroll by the deadline, can I get a special check for my pay?
No special checks will be issued during Winter Break. Departmental administrators are responsible to ensure time is input and approved by the deadlines.
