In continuation of Syracuse University’s Flexible Work and Sustainability Initiative, the University will be operating under its Green Days format for the Winter Break period from 5 p.m. Wednesday, Dec. 23, 2015, through Friday, Jan. 1, 2016.

Normal business hours will resume on Monday, Jan. 4, 2016. In addition to the regular University holidays of Dec. 24-25 and Jan. 1, the following days have been designated as paid Green Days: Dec. 28-31.

Units providing essential services that will remain operational during the Winter Break include Public Safety and Physical Plant and Maintenance. Some facilities, such as Bird Library, will be operational at reduced hours. Beginning at 5 p.m. on Wednesday, Dec. 23, all buildings will be on a reduced occupancy schedule, and temperatures in most areas will be set at 60 degrees.

ADMISSIONS and ADMISSIONS PROCESSING

The Admissions Office and Admissions Processing (716 E. Washington St.) are closed during the Winter Break.

BOOKSTORE

The University Bookstore Textbook Department will be staffed from 8:30 a.m.-4:30 p.m. on Monday, Dec. 28; Tuesday, Dec. 29; and Wednesday, Dec. 30. During these times, Bookstore Textbook staff will be available to faculty who need to place orders for textbooks and course materials for the spring 2016 semester. The Textbook Department staff can be reached by email at textbook@syr.edu.

In addition, the Bookstore receiving areas in the Hawkins Building and Schine Student Center receiving areas will be open and staffed from 8:30 a.m.-4:30 p.m. to receive and process textbook and course materials deliveries on Monday, Dec. 28; Tuesday, Dec. 29; and Wednesday, Dec. 30. BUILDING OCCUPANCY

The University will be operating under its Green Days format for the Winter Break period from 5 p.m. Dec. 23 through Jan. 1, 2016. Beginning at 5 p.m., Dec. 23, all University buildings will operate on a reduced occupancy schedule. Normal business hours will resume on Monday, Jan. 4, 2016.

  • All academic and administrative buildings will be locked or closed during the period.
  • Building temperatures will be set back to 60 degrees, unless prior arrangements have been made.

Request for Building Access:

If you require your building to be open over the Winter Break/Green Days period, please place a request with your building coordinator, noting the specific dates and times. Requests should be made by 5 p.m., Monday, Dec. 21. (Note that faculty and staff will be able to access buildings by swiping their SU I.D. cards, as normal when the building is locked.)

Request for Adjustments to Temperature and Lighting:

Deans, directors and department heads may submit a detailed request for adjustments to temperature and lighting during the Winter Break/Green Days period. Please review the University’s temperature guidelines, which can be found at http://essm.syr.edu/html/temp_access.html. We ask that requests be made using the online form at http://essm.syr.edu/scheduling/ by 5 p.m., Monday, Dec. 21. Requests will be reviewed by the executive vice president and chief financial officer, or the Office of the Provost.

The Counseling Center will be closed during the University Green Days, Dec. 24-Jan. 1. CUSTODIAL SERVICES

DELIVERIES

Materials Distribution will be open for deliveries Dec. 28-30 from 7:30 a.m. to 4 p.m. Arrangements for deliveries to University departments can be requested by contacting Materials Distribution at 443-1940.

 

DELIVERIES (UPS and FedEx)

The Purchasing Department, based on department-submitted instructions, will make arrangements for UPS and FedEx deliveries to those departments. Departments for which staff will be working in locked buildings will need to contact the Purchasing Department to coordinate delivery instructions. If your department has a specific request pertaining to UPS or FedEx deliveries, contact Sarah Michaels in Purchasing at 443-1946 or purchase@syr.edu to make delivery arrangements. Please provide the days that the office will be staffed, the normal delivery location and the temporary delivery location.

 

DISABILITY BENEFITS AND WORKERS' COMPENSATION BENEFIT PAYMENTS

Disability Benefits checks will be processed in advance. All Disability Benefits checks will be processed through the payroll system, and the checks will be mailed to the employee's home address by the Payroll Department during the week of Dec. 21. For assistance with Workers' Compensation checks, please contact our third party administrator, PMA, at 1-888-476-2669. All employees on disability will be notified in advance of the holiday distribution of checks. DISBURSEMENTS

In anticipation of Green Days, Disbursements will not be processing payments after Tuesday, Dec. 22. The last payment run will be the night of Dec. 22 for distribution and handling on Dec. 23. After Dec. 23, no payments will be issued until Monday, Jan. 4, 2016, when normal processing resumes.

To ensure timeliness of various payments your department may have, please make appropriate arrangements to have requests in the Disbursements Department on or before 2 p.m. on Wednesday, Dec. 16.

Weekly Pay Immediately Prior to Winter Break

Weekly pay for the work week ending Dec. 16 will be paid on Wednesday, Dec. 23. Paper paychecks will be delivered to departments for pick up/distribution on Dec. 23; direct deposit will be available to individuals’ accounts. Paychecks for Dec. 23 that are not picked up will be kept in departments for pick up/distribution on Monday, Jan. 4, 2016. If an employee works on a Green Day (435), the hours worked should be coded as Regular (010) time. If the employee works less than their normally scheduled hours, the hours not worked should remain coded as Green Day (435). For any time worked on a Green Day (435), an employee will be given an equal amount of paid time off to be used prior to July 1, 2016. This time, when used, should be coded as Green Day (435). Temps are not eligible for Green Day.

PAYROLL FREQUENTLY ASKED QUESTIONS

If I do not have direct deposit, how will I get my paycheck on Dec. 31?

Paychecks will be mailed to your permanent address. You can verify your permanent address is accurate by going to MySlice under Personal Services, View/Update Addresses. Any changes must be made by Dec. 23.

Where can I sign up for direct deposit?

Log onto https://myslice.syr.edu and select “View/Update My Direct Deposit” to enter your information.

Why might I not receive a paycheck at my home by Dec. 30 or 31?

Several reasons could result in you not receiving your paper paycheck on or before Dec. 30 or 31. Your permanent address in MySlice has to be correct as of Dec. 23. For example, if you have moved and did not change your address, the paper paycheck will be delivered to the address per MySlice and either forwarded to your new address (if you have filed a change of address form with the U.S. Postal Service) or it will be returned to Payroll. Either case will result in potentially significant delays in your receipt of your paper paycheck.

What happens if my permanent address is incorrect in MySlice?

Since paper paychecks will be delivered by the U.S. Postal Service, Syracuse University cannot control, track or locate your paycheck once mailed. If you have filed a change of address form with the U.S. Postal Service to forward your mail, delivery of your paycheck will be delayed. If no such form has been filed, the paper paycheck will be returned to Payroll. Either case will result in potentially significant delays in your receipt of your paper paycheck.

How do I change my permanent address?

Log onto https://myslice.syr.edu and select “View/Update Addresses” under Personal Services.

If I receive my paper paycheck before Dec. 30 or 31 can I cash/deposit it?

No. Paychecks dated Dec. 30 or 31, 2015, are not valid prior to that date.

What happens if I don’t receive my paper paycheck?

If you have not received your paycheck by Dec. 30 or 31, you can call Payroll at 315-443-4042, option 2, and leave a message with the following information:

  • Indicate that you did not receive your paycheck.
  • Give your name and SU I.D. number.
  • Give the name of the University department that you were expecting pay from.
  • Furnish a telephone number where you can be reached.

Messages will be reviewed at various times during the day and calls will be returned as soon as possible.

If my departmental administrator didn’t input and approve the payroll by the deadline, can I get a special check for my pay?

No special checks will be issued during Winter Break. Departmental administrators are responsible to ensure time is input and approved by the deadlines.

The Office of Sponsored Programs (OSP) will have limited staff checking email during the Winter Break/Green Days period. OSP can be contacted ospoff@syr.edu or Stuart Taub can be contacted directly at staub@syr.edu.

Submission of applications with deadlines during the Winter Break/Green Days period should be coordinated with OSP staff in advance of the break to ensure timely review and authorization.

 

STEAM STATION/CHILLED WATER PLANT

The Steam Station is staffed 24/7. Please contact the control room at 443-5105 for any steam- or chilled-water related problems.

SU Abroad is closed during Green Days. The general voicemail (800-235-3472 or 315-443-3471) and email ( suabroad@syr.edu) will be checked regularly; urgent calls and pressing inquiries will be returned as soon as
possible.

TREASURER'S OFFICE (621 Skytop)

The Treasurer's Office at 621 Skytop will be closed. Critical functions will continue to be performed, including security gift processing, bank transfers and electronic payments. Any requests for the Treasurer's Office of an urgent nature should be directed to David Smith at 420-2357.
